A fair and transparent system for maintaining sportsmanship and order in our clubs.

Overview

The discipline system helps club owners maintain a positive environment by addressing behavioral issues through a structured approach. It uses two types of records:

  • Cautions (Yellow Cards) - Warnings for minor infractions
  • Suspensions (Red Cards) - Temporary removal from club activities

How It Works

Cautions

Cautions are warnings given to members for minor rule violations or unsportsmanlike behavior. They remain on record for 30 days.

Examples:

  • Minor disputes with other players
  • Repeated tardiness
  • Failure to follow club rules
  • Poor sportsmanship
Suspensions

Suspensions temporarily remove a member from club activities. Default duration is 7 days, but can be customized.

Examples:

  • Major rule violations
  • Serious unsportsmanlike conduct
  • Harassment or bullying
  • Safety violations

Caution Accumulation Rule

If a member receives two cautions within a 30-day period, the system automatically generates a suspension with the description "Caution Accumulation". This suspension lasts for 7 days by default.

This rule helps ensure that repeated minor issues are addressed appropriately before they become major problems.

Member Impact

Suspended members cannot:

  • RSVP to club games
  • Participate in team selection
  • Join new clubs (if suspended in their current club)

Members receive email notifications when:

  • A discipline record is created against them
  • A discipline record is reversed

Complete History

All discipline records are maintained and visible to:

  • Club owners (full management access)
  • Members (their own records only)
Record Reversal

Club owners can reverse discipline records if:

  • New information comes to light
  • Appeals are successful
  • Errors were made
Automated Processing

The system automatically:

  • Processes caution accumulation
  • Updates member statuses
  • Expires old suspensions

Club Owner Responsibilities

Club owners have exclusive access to the discipline management system and are responsible for:

  • Fair Application: Apply rules consistently to all members
  • Documentation: Provide clear descriptions for all discipline records
  • Communication: Members are automatically notified, but additional communication may be helpful
  • Appeals: Consider member appeals and reverse records when appropriate
  • Transparency: The system maintains a complete history for accountability

Email Notifications

The system automatically sends email notifications to members when:

New Discipline Record

Members receive an email with:

  • Record type (caution/suspension)
  • Description and reason
  • Suspension end date (if applicable)
  • Link to view their discipline history
Record Reversal

Members receive an email when a record is reversed with:

  • Original record details
  • Reversal date
  • Explanation that the record is no longer active

Frequently Asked Questions

Cautions are considered for accumulation for 30 days from the date they were issued. After 30 days, they no longer count toward the two-caution suspension rule, but they remain in your history.

Yes, you should contact your club owner directly to discuss the situation. Club owners have the ability to reverse discipline records if they determine it was issued in error or if circumstances have changed.

During a suspension, you cannot RSVP to games or participate in club activities. Your member status will be set to "Suspended" and automatically return to "Active" when the suspension ends.

You can see your own discipline history on your profile page. Club owners can see all discipline records for their club members. Other members cannot see your discipline records.
